IT Equipment Purchasing and Disposal Procedure

Purchasing

All IT equipment, except for toner, is to be purchased by the IT Manager or the IT Assistant Manager. This includes IT equipment for administration, clubhouses, school sites and computer clubhouses (ICC). Purchases may be charged to the IT budget or to a clubhouse/school site budget, but this should be approved before a purchase is made.

 

Disposal

Before disposing of obsolete or broken IT equipment, the IT Manager must complete a disposition form (see attached), obtain approval from the Vice President, Human Capital & Operations, and submit the form to finance.

 

IT Equipment Tracking Policy

Only the IT Manager or IT Assistant manager can move or relocate electronic devices within and/or to other sites, either permanently or temporarily (to allow for proper documentation/ tracking).

 

Any new electronic devices that arrive CANNOT be opened and/or unpacked. Please report ASAP to [email protected] or [email protected] for pickup and assignment.

 

Electronic devices include the following:

 

 

  • Laptops/Chromebooks
  • Desktops/All-In-One
  • Tablets/iPads
  • Charging Carts (Site-specific)
  • Servers
  • Monitors
  • TV’s
  • Wireless Display Adapters
  • PowerPoint Clickers (with soft case)
  • Gaming Console
  • Printers
  • Power adaptors

 

  • VoIP Phones
  • Walkie talkies/Charging Trays
  • Network devices (Wireless bridges, switching hubs & UPS)
  • Projectors
  • Cameras/ Surveillance Cameras
  • Loud/Big Speakers
  • Mix Boards
  • Microphones (Wireless or Wired)
  • A/V Cables & Adapters (HDMI, HDMI Dongles, DisplayPort, Mac Adapters)
