Memo to BGCP Staff

Covid-19 Re-Opening Health and Safety Plan July 14, 2020

This document details Boys and Girls Clubs of the Peninsula (BGCP)’s plan for optimizing the Health and Safety of all BGCP staff, students, and families, as we begin to gradually re-open our facilities.

As we implement this plan, the entire Leadership Team is thinking constantly about the safety of the individuals we serve, the staff, and their families. The situation is fluid; as information changes and if/when circumstances warrant, we will modify and adjust this plan. Although BGCP hopes it will not be necessary, this includes the option to close the facilities again if the Leadership Team determines that is the best course of action.

The BGCP Leadership Team is regularly communicating with school districts, staff, and families. This will continue as we move through this unprecedented time.

In this plan, “staff” means employees, contractors and sub-contractors, vendors, volunteers, and any other individuals who provide services onsite at the request of BGCP.

Important Note: it is extremely important for us all to adhere to these guidelines. The virus remains in circulation in our community and some employees are more susceptible than others. Please exercise caution and care for your coworkers, their families and our community, by following the scientifically recommended safety protocols!

Safety and Preventive Measures

BGCP is taking the following steps to re-open safely:

  1. Enforcing Health & Hygiene Practices
  2. Ensuring Facility Readiness
  3. Providing Training & Accountability to Safety Protocols

Health & Hygiene

BGCP will be enforcing the following health and hygiene practices recommended by the CDC when facilities re-open:

  1. Daily health symptom checks - BGCP staff members must self-screen for Covid-19 symptoms at home. Employees should monitor themselves for the following: cough, breathing problems, fever, chills, muscle pain, sore throat, vomiting, diarrhea, and loss of taste or smell.
  2. On-site screening and temperature taking – Prior to entering BGCP facilities, all individuals will be screened by a trained staff to a) determine if the individual has any symptoms of Covid-19 or has had contact with someone who, and b) have their temperature taken. Screeners will be available at Menlo Park Clubhouse 8-6pm and starting at 9am at Redwood City Clubhouse and 9:30am at EPA Clubhouse.

Stay home/go home if symptoms present - If BGCP staff members do have any of these symptoms, or they have actually been diagnosed with Covid-19, or they have had close contact with someone who has been diagnosed with

Covid-19; they must stay home and notify LJay Ramirez at 650.646.6141 or [email protected] in BGCP Human Resources department.

  1. All facilities will be set up for one entry point and exit.
  2. Daily hygiene routines, including frequent hand-washing for at least 20 seconds. Wash your hands after using the toilet, before eating, and if you cough/sneeze into your hands. You can also use the sanitizers you’ll find around office, school sites, and clubhouses.
  3. Required face masks In accordance with San Mateo County and State of California orders, all staff and students must wear a face covering, or mask, when in a public area or private space near other people. BGCP will provide two reusable masks to each staff member. When students return to BGCP sites, a disposable or new reusable mask will be provided to each student upon arrival, if the student does not already have one.
  4. Always maintain 6 feet physical distance from others. This includes observing posted regulations for room capacities.
  5. Refrain from shaking hands, hugging, or other greetings that require contact
  6. Utilize outdoor space or other well-ventilated areas for meetings, breaks, and meals
  7. Cover your coughs and sneezes with a tissue or the inside of your elbow
  8. Avoid touching your face
  9. Limit sharing of materials (books, technology)

Facility Readiness

  1. Single point of entry and exit
  2. Signs with occupancy limits in all rooms, elevators, and offices - Signage will be posted throughout the office to indicate the capacity of each room and seating area.
  3. Traffic flow floor markings
  4. Hands free restrooms
  5. Cleaning stations setup
  6. Outdoor Meeting & Lunch Space ( Menlo Park Facility )
  7. Sanitizing schedule for janitorial staff
  8. Plexiglass barriers at reception areas (clubhouses and school sites)

BGCP staff will follow the guidelines issued by each school district and will work with school district staff to prepare the spaces accordingly.

  2. Staggered schedules - A staggered schedule for the Office will be followed so that appropriate social distancing can be maintained (see Appendix B)
  3. Assigned workspaces
  4. Explicit and detailed cleaning plan & logs
