BGCP Covid Response Protocols (9/21/21)
What you need to know
- What informs our response: San Mateo County Health Guidelines
- What is a close contact? Anyone who has been within 6 ft of a positive case for more than 15 total minutes (doesn’t matter if masked or unmasked, indoors or outdoors) within the last 5 days!!
- Positive Cases (staff or student): Must leave immediately and quarantine until advised by health department
- Close Contact (staff): If no symptoms, need to leave immediately and get tested by HR. Can return immediately if results are negative. Staff may continue to work if they test twice a week for two weeks, and their results are consistently negative. If staff develop any symptoms, even if they are only mild, or test positive for COVID, they must report this immediately to HR, and stay home until they receive further instructions from HR.
- Close Contact (students):
- Redwood City: If no symptoms, remain on site masked, tested twice a week by district for 2 weeks
- Ravenswood:
- Belle Haven, Costano, CCRMS students w no symptoms, remain on site masked, tested twice a week by district for ~2 weeks
- LR students may attend school but cannot come to program for ~7-10 days, to be determined by district (more communication guidance below, but Cindy will give Jenny expected return date)
- Clubhouse students: If no symptoms, remain on site masked, tested twice a week by BGCP (parent consent required) for 2 weeks. If parents do not consent to testing, the student must stay home two weeks.
- Siblings: Siblings of someone who tested positive should quarantine, however siblings of someone who was a close contact do not need to quarantine.
- PTO: Staff will be paid for full, normal hours, while out for covid-related circumstances
- Closing Sites: Closing sites will be our last resort. Work with your manager to determine coverage plans. If we can safely staff and open, we should.
Communication
- Step 1: If only a student case (no staff exposure involved), contact Jenny and share student close contacts. Skip to STEP 6. If students and staff impacted, go to Step 2.
- Step 2: Communicate all staff cases/exposure directly to HR. Be ready to share student and staff close contact info
- Step 3: HR contacts Site Director to confirm close contact lists, arrange testing, and/or provide guidance for how long staff will need to be out.
- Step 4: Site Director works with manager to arrange coverage.
- Step 5: HR informs leadership via email, includes names of all close contacts
- Step 6: Jenny informs RWC and Ravenswood district partners of close contacts.
- Step 7: HR files SPOT report and sends notice to all present on site that day (district partners, staff, students etc.)
- Step 8: HR informs staff close contacts via phone and email to arrange testing
- Step 9: Program Operations Managers/Site Staff inform families of close contact students (arrange extra HR support with manager if needed):
- RWC/Belle Haven/Costano/CCRMS: “We were notified by the school district that your student was in close contact with an individual who tested positive for Covid. Your student may continue to attend BGCP programs if you consent to Covid testing twice a week for two weeks, and your student consistently tests negative. It is important that you monitor your student for symptoms of Covid. If your student develops any symptoms, even if they are only mild, or test positive for COVID, please report this immediately to your school, and keep your student off campus and out of BGCP program until you receive further instructions.” Need verbal consent for testing.
- LR: “We were notified by the school district that your student was in close contact with an individual who tested positive for Covid. Your student will need to be picked up as soon as possible, please, as they are not permitted to participate in our after-school program. Your student may continue to attend school, if they consent to Covid testing. The school district will provide exact instructions, and a date when your student can return to our program, but you can expect it to be about 7-10 days. It is important that you monitor your student for symptoms of Covid. If your student develops any symptoms, even if they are only mild, or test positive for COVID, please report this immediately to your school, and keep your student off campus and out of BGCP program until you receive further instructions.” Need verbal consent for testing.
- Clubhouse Students: “Your student was in close contact with an individual who tested positive for Covid. Your student may continue to attend BGCP programs if you consent to Covid testing twice a week for two weeks, and your student consistently tests negative. It is important that you monitor your student for symptoms of Covid. If your student develops any symptoms, even if they are only mild, or test positive for COVID, please report this immediately to us and to your school and keep your student off campus and out of BGCP program until you receive further instructions.” Need verbal consent for testing.
Preventative Measures:
- Staff MUST maintain a 6 ft distance from one another, when possible, especially when prepping in the same room. Staff meetings should take place outdoors, when possible, but 6 ft distance is most important.
- No eating indoors
- Staff symptom checking must still happen, led by POMs
- Daily screening for covid symptoms is no longer needed. However, any student with covid symptoms, even if they are only mild, must be sent to the office for covid screening with the POM. After the screening is completed, the POM will call parents if the student needs to be sent home.
- Sanitize shared materials and desks using the neutral germicidal cleaner used in the spray bottles at your site.
- Continue to ask parents to sanitize when they approach the sign out table. Separate “Clean Pens” from “Used Pens”, staff can sanitize the used pens as needed.
Outstanding Questions:
- What happens when it gets cold/rainy – where do staff eat? Do students need to eat outside? (Garfield, LR, CCRMS Forest)
- Our current best thinking is that the Ops team will set up lunch canopies at each location the last week of October. 3 walls, 1 that you can zip up as a 4th.
- Whenever possible, students should eat outside too. Reach out to Ops to help think through the best plan for this and inclement weather backup plans
- Needs – MP signage to encourage non MP-site staff to go through admin entrance
- James/Ops ordering professional signage for door and will send email out to staff
